POSITION PURPOSE:  

Performs numerous and complex variety of clerical, secretarial and administrative support work for the Municipal Court as prescribed by law and court procedures, as well as the municipal court operating policies and procedures manual.

     
ESSENTIAL JOB FUNCTIONS:  
  • Performs clerical and administrative work in answering telephones, typing, and maintaining files.
  • As assigned, purchases department materials and supplies following written City policies and departmental guidelines.
  • As assigned, prepares requisitions for payment and maintains purchase orders to assist in monitoring the department’s budget.
  • Operates various office machines.
  • Receives, stamps and distributes incoming mail and processes outgoing mail.
  • Acts as custodian of departmental documents, records and legal publications; establishes and maintains filing systems.
  • Inputs data to standard office and department forms; makes simple postings to accounts; compiles data for various reports.
  • Processes mandated state forms for driver’s license suspensions and reinstatements in accordance with the law.
  • As assigned, registers employees for conferences and training sessions; makes travel arrangements and itineraries.
  • As assigned, assists in the training of new personnel in the department.
  • Specialized clearance for accessing police records database as required to, arraign and release jail defendants, will be given as approved/assigned by the Municipal Court Clerk.
  • Reviews and/or enters uniform complaints, as well as information data, as listed by police computer records for accuracy and completion.
  • Computer data entry and case information retrieval on all filings in this Court, central computer law master;  completes and processes specific legal forms as prescribed, to include court minutes, committals, deferrals, bonds, failure to appear notices, criminal warrants, summons, subpoenas, appeals and reports dispositions of same to state agencies.
  • Scheduling and preparation of court dockets, trials and various hearings, both criminal and administrative in nature, as assigned.
  • Receipts, deposits and accounts for monies for fines, bonds, state penalty assessments and other related court costs as assessed by the Court.
  • Assists in the coordination of pending court matters with defendants, attorneys, law enforcement personnel, jailers and bail bondspersons.
  • Responds to numerous telephone, in person, and written inquiries for information.
  • May be required to fulfill, on a temporary basis, the role of Senior Deputy Court Clerk as assigned by the Municipal Court Clerk.
  • May perform other duties as assigned by supervisor.
     
MINIMUM QUALIFICATIONS:  
  • Graduation from High School or completion of GED equivalency.   
  • Two years prior work experience in clerical, secretarial or paralegal position.
  • Considerable knowledge of modern office procedures, computers and related equipment, working knowledge of legal process and terminology and some experience handling cash.
  • Skill in computers and electronic data processing, modern office practices and procedures.
  • Skill in the operation of the following tools and equipment: personal computer including word processing, spreadsheet and database software, copy machine, fax machine, 10 key calculator, typewriter.
  • Skill in applying knowledge of legal office practice and procedures, to include knowledge of court rules, regulations, procedures and policies.
  • Knowledge of legal office practices and procedures.
  • Ability to effectively meet and deal with the public.
  • Ability to communicate effectively verbally and in writing.
  • Ability to handle stressful situations.
  • Ability to make arithmetic calculations and tabulations rapidly and accurately.
  • Ability to write legibly.
  • Ability to establish and maintain effective working relationships with other employees and the general public.
  • Ability to understand and follow verbal and written instructions.
  • Ability to work independently.
  • Ability to perform legal research by manual or electronic means.

  • Frequent hand-eye coordination is necessary to operate various pieces of office equipment, often requiring repetitive hand-arm coordination and movements
  • Frequently use manual dexterity sufficient to operate a computer keyboard.

  • Frequently talk and listen, express or exchange ideas and perceive the nature of sounds by the ear.
